Privacy Policy

Archival is an admissions portfolio and planning tool for high-school students, families, and counselors. Archival does not sell user data and does not use student essays, reflections, portfolio materials, or saved application content to train AI models.

Information we collect

Archival collects account details, student-created content, device/browser data, usage analytics, performance data, and error information needed to operate, secure, and improve reliability.

Student-created content

Archival stores notes, reflections, essays, school lists, deadlines, portfolio items, uploaded files, activity descriptions, and other application materials users choose to save.

How we use information

Information is used to operate accounts, save portfolio data, provide planning features, deliver requested AI features, process subscriptions or school access when enabled, send automated app emails, respond to support requests, debug errors, and prevent abuse.

AI features and model training

AI providers process relevant content only to provide requested AI features, subject to their API and data policies. Archival uses AI for feedback and suggestions, users must review outputs, and Archival does not guarantee admissions outcomes.

Subprocessors / service providers

Archival currently uses MongoDB Atlas, Cloudinary, OpenAI, Stripe, Resend, PostHog, Sentry, Vercel, and Railway.

Data retention

Archival retains account information and content while an account is active or as needed for service, security, billing, abuse prevention, legal, backup, or operational reasons.

Data deletion

Users can request account or content deletion by contacting support@mail.usearchival.org. Deleted accounts and content will be removed from active systems within a reasonable period, though limited records may be retained for security, fraud prevention, billing, abuse prevention, legal reasons, backups, or service integrity.

Data export / portability

Students can export essays, notes, school lists, portfolio summaries, and application materials where export tools are available. Full account export is a planned improvement.

Security

Archival uses reasonable safeguards designed to protect user information. No internet service can guarantee perfect security, so contact support@mail.usearchival.org if an account may be at risk.

Minors and student privacy

Archival is intended for high-school students, families, and admissions planning. Users under 13 should not create accounts without parent or guardian involvement. Archival is designed with student privacy in mind, without claiming COPPA, FERPA, or state student privacy law compliance unless separately reviewed and implemented.

School/counselor use

Archival is not currently acting as a FERPA school official unless a separate school agreement exists. School or counselor pilots can request additional privacy terms at support@mail.usearchival.org.

Payments

Paid subscriptions and billing, when enabled, are processed by Stripe. Archival does not store full payment card numbers.

Analytics

Archival uses PostHog for product analytics and Sentry for error monitoring. Analytics and monitoring should not be used to sell student data.
